The Conference Managers have secured rooms at a selection of hotels with flexible terms and conditions exclusively for attendees of the Conference. Book early to secure your room and let us look after you whilst taking advantage of the specially negotiated rates and the flexibility to change or cancel your booking at any time up to 30 days prior to Conference start date. Bookings can be made via the registration form.

Terms and Conditions

We have secured rooms at the Adina Apartment Hotel Darwin Waterfront, Vibe Hotel Darwin Waterfront and Travelodge Resort Darwin, close to the Conference venue, with flexible terms and conditions exclusively for attendees of the Conference.  Cancel or amend your booking up until 30 days prior to the Conference start date.

If you would like to book additional days outside of the Conference dates, please contact us directly here and we can arrange on your behalf. Upon confirmation from your requested hotel, we will confirm these dates with you.


All bookings are accepted on the basis that you have read, understood and agree to abide, and be bound, by these Terms and Conditions.

How to Book

The Conference Managers will forward your contact details and reservation to the hotel of your choice. In addition, your card details will be securely provided to the hotel.

Accommodation may be booked when you complete the online form for in person registrations. Alternatively, email your requirements to the Conference Managers who will be more than happy to assist.



A credit card is required to guarantee your reservation. Your card will be charged by the hotel 30 days prior to check in.

The balance of your hotel account any incidental charges will be payable to the hotel at the time of check-out.


Changes to bookings

Any required changes to your booking must be requested in writing to the Conference Managers by 30 days prior to the Conference start date.


Late bookings

New bookings and changes to existing bookings requested within 30 days prior to the Conference start date will be subject to hotel availability and rate increase. It is recommended you book early to avoid disappointment.

Flexible terms and conditions apply to amendments or cancellations made up to 30 days prior to the Conference. Cancellation charges will apply after this date.


Cancellation charges

  • 100% cancellation fee will apply for cancelled bookings from 30 days prior to the Conference date.
  • 100% cancellation fee will also apply if you do not arrive on the date you are booked to check in.
  • Cancellations or amendments whilst in house, will incur a fee equivalent to full accommodation charges.
  • All cancellations and changes to your reservation must be made in writing to the Conference Managers.


Reduction of stay

Should you need to reduce your stay within 30 days of the start of the Conference, cancellation charges will be incurred, as above.


Non-arrival / no show

In the event of a non-arrival, your room will be held for each night booked and you will not be entitled to any refund.



The negotiated rates are valid up to 30 days prior to the Conference start date. After this, accommodation is subject to availability and rates are subject to an increase.

Rates may increase at any time without notice due to changes in government charges, taxes or levies.

As per standard hotel policies and procedures, delegates will be required to provide credit card details upon check-in.  This is to cover any incidental charges incurred during your stay. All incidental charges (car parking, breakfast rates, internet etc.) may vary across the listed hotels and are subject to change without notice.


Check in / check out times

Check-in time for most hotels is 1500 hours and check-out time is 1100 hours.  Should you wish to guarantee your check-in before 1500 hours, you will need to pre-book and pay for the previous night.  If you wish to guarantee a late check-out you will need to book for the next night.

These additional nights can be booked at the time of making your reservation. Alternatively, if you have already made your accommodation booking, you can request the additional nights by advising the Conference Managers in writing.
